Content Management System (CMS)

The purpose of content management systems

Organisations very frequently, gather and process various information such as documents, images, audio, etc. Over time this collection can become very large. Very often there is a need to share and modify with other users but in a controlled manner.

A content management system (CMS) is one such solution that might be simply defined as a system which supports the publishing or manipulation, sharing, editing or versioning of content (computer files, image media, audio files, electronic), frequently documents, and typically using Web technologies. They would often be deployed where there are potentially large numbers of contributors

The idea behind a CMS is to make these files available inter-office, as well as over the web. A Content Management System would most often be used as an archive as well. Many companies use a CMS to store files in a non-proprietary form. Companies use a CMS to share files with ease, as most systems use server-based software, even further broadening file availability. Many Content Management Systems could include a feature for Web Content, and some may also have a feature for a "workflow process".

Websites can grow over time to become large and complex, this is especially true of business oriented sites. Very often the sites need to be updated regularly by non-technical users with little or no HTML/web technology. Hence, there is a requirement to make website information editing easier and effective. A web content management system is a content management system with additional features to ease the tasks required to publish web content to web sites.

"Work flow" is the idea of moving an electronic document along for either approval, or for adding content. Some Content Management Systems will easily facilitate this process with email notification, and automated routing. This is ideally a collaborative creation of documents. A CMS facilitates the organization, control, and publication of a large body of documents and other content, such as images and multimedia resources.
