Accounting
Accounting software is application software that records and processes accounting transactions within functional modules such as accounts payable, accounts receivable, payroll, and trial balance. It functions as an accounting information system.Such systems are extensively used by businesses including accountants themselves. They can also show the financial state of the business.
Typical functions they provide are:-
- Accounts receivable-where the company enters money received
- Accounts payable-where the company enters its bills and pays money it owes
- General ledger-the company's "books"
- Payroll-where the company tracks salary, wages, and related taxes
- Billing-where the company produces invoices to clients/customers
- Stock/Inventory-where the company keeps control of its inventory
- Purchase Order-where the company orders inventory
- Sales Order -where the company records customer order for the supply of inventory
This type of application can vary in size for simple spreadsheets, bespoke software to commercial off the shelf (OTS) packages. Nowadays accounting software is also web enabled and hence accessible securely wherever there is an internet connection.
The main packages that we deal with are QuickBooks and Sage, the main popular packages used in the SME market. QuickBooks is specifically intended for small business without much accounting experience, and is relatively easy to get up and running. On the other hand, it is not as customizable as more advanced applications so accounting-savvy users may prefer other more suitable packages that are not so limiting.
Like QuickBooks, the widely used Sage comes in a variety of versions.
Sage offers more flexibility than QuickBooks, allowing you to set up charts, reports etc exactly the way you like, hence accounting background personnel tend to prefer it. Sage does however expect users to posses some basic experience of accounts and hence is not really usable straight "out of the box".
